Where do I get my company ID?

Your sales contact or company administrator can give you the ID. This is normally a short string of letters that you need to enter into the box on the initial membership registration page.

How can I become designated as a travel planner?

Ask your Company Administrator to designate you as a planner. You must be a registered member of the website.

How do I get authorized to plan travel?

There are two ways:

  • The individual traveler may designate their travel planners by clicking on the "travel planner" link at the bottom of their My Account page. This link will display a list of all designated travel planners, allowing the traveler to choose one or more travel planners.
  • Travel Planners have a special admin link in there login/welcome box that allows them access to planner tools. They can add members through this link with out any involvement from the traveler.

Can there be more than one travel planner?

Yes.

One of my travelers wants to handle his/her own vacation travel

Each traveler can designate a travel planner for either business or personal travel or both. If you are designated as a business traveler, you will have access to all business trips on the My Trips page, but you will not be able to view or access personal trips.

How do we remove old travel planners from the system?

Ask your Company Administrator to de-authorize the travel planner who has left.

My travelers are concerned about their personal credit card information

You will be able to view their My Account pages. However, credit card information is never fully displayed so you would not be able to see their complete credit card number. The travel planner is NOT ALLOWED to book travel to a traveler's personal credit cards.

How are email confirmations sent to travelers and planners?

Email confirmations can be sent to the traveler, to just the travel planner, or to all travel planners in your organization. The email controls appear at the end of the appropriate web page each time a reservation is made, and the email distribution can be varied for each reservation.

Can we request that each trip a traveler books be authorized?

Yes. When the traveler attempts to book corporate travel, authorization can be obtained ahead of time from a link in their My Account, or an email link is provided on the booking page. The travel authorizer receives the email request, and can authorize the booking so the traveler can continue with the reservation.

Can each planner review their own departments?

Yes. A field can be added in order to sort data.
